Document Imaging FAQ's

_1.) What is Document Imaging?
_Businesses today are converting paper documents into digital formats to prepare for disaster recovery, to save time, _save space, reduce paper usage, and increase office efficiency.

_2.) Do you provide this service Nation-Wide?
_Yes! Record Express provides Scanning Services nation-wide. Our clients have called us from coast to coast. Some _projects, especially legal projects, are highly sensitive and the documents are not permitted to leave the facility. _Record Express understands this and will provide our services anywhere in the continental US.

_3.) Do you provide this service at your location?
_Yes! Record Express can arrange to have your documents shipped to our headquarters for fast and precise _conversion. Our trained and experienced staff utilizes a proven process to prepare, scan and process high volumes of _documents in a minimal amount of time.

_4.) What file formats are created during the scanning process?
_Our most commonly requested file formats are TIFF (Tagged Image File Format) and PDF (Portable Document Format) _We can also provide other file formats such as but not limited to: BMP, JPG, PSD, TGA, PCT, GIF and more.

_5.) How many images or pages can I fit onto a CD?
_Generally, 10,000 to 20,000 images can be burned to a CD in .TIF or .PDF format. However, the final count will depend _on the file type and size of each image.

_6.) How many images or pages can I fit onto a DVD?
_Generally, 75,000 to 100,000 images can be burned to a DVD in .TIF or .PDF format. New DVD types can hold even _more. However, the final count will depend on the file type and size of each image.

_7.) What type of scanner do you use?
_Record Express uses multiple types of scanners. Some of our scanners can scan up to 180 images per minute
_double-sided. Other scanners consist of flatbeds, which are most often used for delicate types of documents.
_Large format scanners are also an option, especially for blueprints and architectural drawings.

_8.) What if I want to do this myself?
_You can do it yourself. Record Express can provide the tools and training necessary to develop a paperless office.
_We can help you choose the software, scanners and other peripheral hardware to develop a solution that best fits _your office's specific needs.

_9.) Will I need special software to view my files?
_No. The most common types of files (such as PDF or TIF) can be viewed with free software such as Adobe Acrobat _Reader. For large quantities of documents, it would be recommended to utilize some sort of document management _software. Document Management Software allows a business to create a repository of files. The software can also _include beneficial features such as security, permissions, automatic retention, indexing, OCR and more. Although _document management software can be very beneficial, it is not an absolute necessity.

_10.) What is OCR?
_O
ptical Character Recognition is the recognition of printed characters. When a text document is scanned, it is turned _into a bitmap, which is a picture of the text. OCR software analyzes the light and dark areas of the bitmap in order to _identify each alphabetic letter and numeric digit. When it recognizes a character, it converts it into ASCII text. Hand _printing is much more difficult to analyze than machine-printed characters. Old, worn and smudged documents are also _difficult.
